TERMS & CONDITIONS

1. Venue Hire Confirmation

All venue hire requests submitted via the online booking form are considered provisional and subject to venue and event/venue manager availability. A booking will only be confirmed upon verification of availability, at which point a $100 deposit is required. This deposit will be deducted from the final invoice upon completion of the venue hire.

2. Booking Cancellations

Due to the high demand for the Lewis Eady Steinway NZ Showroom, any cancellations must be submitted in writing no later than 7 days before the scheduled hire date. Cancellation requests should be emailed to venuehire@lewiseady.co.nz.

Cancellations received less than 7 days prior to the booking date will result in the forfeiture of the payment, which will not be refunded to the hirer.

3. Setup & Pack Down

The venue hire fee, including any applicable staff charges, covers the entire booking duration, including setup and pack-down time. For example, if an event is scheduled to begin at 7:00 PM, the booking should commence at 6:30 PM to allow sufficient time for setup. The same applies to pack-down time. Overtime charges will apply if the booking exceeds the agreed duration.

4. Pianos

To ensure the protection of showroom instruments, the following rules must be strictly observed:

• Pianos must not be moved or adjusted in any way.

• No items (e.g., keys, handbags, drinks, or other objects) may be placed on showroom pianos.

• Only the designated performance piano may be played. Other showroom pianos must not be played or moved.

5. Kitchen Facilities

Kitchen facilities are strictly off-limits and are not available for use.

6. Smoking Policy

Smoking is strictly prohibited both inside and outside the premises.

7. Damage & Liability

• Any damage to the venue or its property must be reported immediately. The hirer/organiser will be fully responsible for all repair or restoration costs.

• The hirer/organiser is responsible for all accident compensation matters.

• Lewis Eady will not be liable for any loss, damage, or injuries sustained within the showroom or premises. This includes any failure of the hirer/organiser to comply with government or local authority regulations.

8. Post-Event Responsibilities

Immediately following the event, the hirer/organiser must:

• Report any breakages or damages to Lewis Eady staff on-site.

• Ensure all rubbish is removed from the premises.

• Collect and remove all personal belongings of attendees and organisers.

9. Compliance & Supervision

The hirer/organiser must adhere to all applicable government and local authority laws throughout the booking period. If the hirer/organiser is under 18 years old, they must be supervised or accompanied by a parent or guardian at all times.

10. Communication & Discretion

By submitting a showroom booking request, the hirer/organiser agrees to receive ongoing communications from Lewis Eady.

The hire of the Lewis Eady Steinway NZ Showroom is solely at the discretion of Lewis Eady.
